How Far in Advance Should You Book a Production Company?
Sooner than most people think, and for reasons that are mostly about other people’s diaries rather than ours.
Rough lead times
A single-camera stream in a straightforward venue. Two to three weeks is comfortable. A week is doable. A few days is possible if the date is free.
A multi-camera conference or AGM. Six to eight weeks. Enough to do a site visit, agree the running order and book the right crew.
A festival or outdoor event. Three to six months. Site plans, power orders and structural sign-off all have their own deadlines and they are early.
An arena or tour. Booked around the tour schedule, often six months or more ahead.
Anything needing BSL interpreters. Add four to six weeks to whatever the above says.
What books up first
Interpreters. BSL interpreters for live work are the scarcest resource in this list, and autumn is the worst time because it is AGM season. Two are needed for anything over about an hour.
Human captioners. Same problem, slightly less acute.
Crew. Good freelancers commit early. The best camera operators and directors in your region are booked months ahead in summer.
Specialist kit. Jibs, large LED and anything unusual is finite and shared across the industry.
Standard cameras and mixers are rarely the constraint. People are.
The peak seasons
May to September is festival and graduation season. Crew availability is the tightest it gets.
September to November is AGM season. Interpreters and captioners are the bottleneck.
December is carol services, panto and Christmas parties, all on the same fortnight of dates.
If your event falls in one of these, add time.
What can genuinely be done at short notice
More than you would expect, if the date happens to be free. A straightforward stream with a week's notice is not a problem. What short notice removes is choice: you get the crew who are available rather than the crew best suited.
The free thing to do now
If you have a date but no budget approval, ask for a provisional hold. Costs nothing, commits nothing, and keeps the option open.
